Your RoleFleet Admin

Fleet Admin

New to this role? Follow the first-day checklist.

Fleet Admin oversees a company fleet account, service approvals, history and billing. This external role is separate from service center staff. Staff arrange bookings, vehicle links, Driver assignments and account settings; coordinate changes with them.

Use the sidebar or mobile header menu for Overview, Approvals, Vehicles in service, Service history and Billing statements. Confirm the company name and account number before deciding work. The overview contains previews; its View all links open complete paginated lists.

Responsibilities

  • Review company context, vehicles in service and credit information.
  • Open requests assigned to you and review the complete displayed estimate before deciding.
  • Review the separate service package price and projected combined total, then confirm the vehicle, version, currency and additional-work amount in the approval or rejection dialog.
  • Follow active service and completed visits using history filters and pagination.
  • Review monthly statements and their included work; ask staff about invoices and payments.
  • Coordinate Driver access and assignment corrections with the service center.

Approval applies to all additional work shown; the service package charge is separate. If the estimate changed or its visible work does not account for the total, ask the service center for a corrected request. Go back leaves the confirmation without recording a decision. A credit exception, when needed, is recorded by authorized staff.

Fleet Admin access stays within the selected account. A person with Driver access in another account does not gain approval or billing access there. The overview’s Updated time marks a manual page snapshot; refresh for newer information. History and billing lists can contain more records than the overview previews.

Use Log out before leaving a shared device. If the workspace remains unavailable after a refresh, tell the service center which company you opened and what you were trying to review.
