Fleet Admin overview and complete lists
The overview shows vehicles in service, approvals assigned to you, approved work awaiting billing, available credit when a limit applies, and the latest prepared billing statement. Counts cover the whole account or assigned approval queue; the overview previews at most 12 items in each group. Use View all approvals, View all vehicles in service, or View all billing statements to reach the complete lists. Use Previous and Next when a list has more than one page.
The Updated time is the time that the page was prepared. Refresh for newer information. It does not promise live updates or replace the checks made when you confirm a decision.
Review and confirm an estimate
Open Approvals, then Review estimate. Check the registration plate, Repair Order number, estimate version, every displayed work item, quantity, unit price, discount, tax and total. The page separates the Service package charge from Additional work total for approval and shows Total if all work is approved when the amounts can be combined. For example, LKR 2,500 of additional work plus a LKR 2,500 package gives a projected LKR 5,000 bill. If the package price is unavailable or its currency differs, ask the service center to confirm the full price. Approve estimate applies to all additional work shown; there are no separate line selections in Fleet. Approving or rejecting additional work does not change the separate package charge. Choose Approve estimate or Reject estimate, add an optional note, and review the confirmation before choosing Confirm approval or Confirm rejection. Go back closes the confirmation without recording a decision.
If the estimate changed, or the visible work cannot account for the approval total, approval stays unavailable. Ask the service center to correct the estimate and provide an updated request. A credit limit or missing approval setup can also stop a decision. Do not treat a failure notice as a recorded decision; review the current page before trying again.
In service and service history
Fleet Admin can open Vehicles in service for active work or Service history for all authorized work. All work includes completed and cancelled visits. Filter by vehicle, status, From, and Through, then choose Filter. Dates follow the service center’s configured timezone, and Through includes the entire selected day. Totals and status groups cover all matching records. Expand Service updates on a record to read its full timeline. The current status and update time stay visible when it is closed. Staff-only notes remain private.
Invalid filters stay visible with Check your filters so you can correct them. An invalid range does not silently load unrelated records. Clear filters returns to All work with the filters removed. Pagination keeps the selected filters; a saved page beyond the results returns to the last available page.
Billing statements
Open Billing statements for all prepared monthly statements, then open a statement to review its period, currency, total and included vehicle service. Prepared records when the statement was created. A statement groups approved estimate work; it does not prove that an invoice has been issued or paid. The service package charge is separate from the estimate work represented in the statement. Ask the service center billing contact about preparation, invoices or payments. Fleet Admin can review statements here; service center staff prepare them.
Driver workspace
Drivers see active assignments, current service and the same history filters for currently assigned vehicles. In service narrows that history to active work. Drivers cannot see approvals, credit, billing, other Drivers or account management. No vehicles assigned means the service center needs to confirm the assignment; old vehicle links do not grant access.
Use Help for public guidance and Log out before leaving a shared device. If a page remains unavailable after a refresh, contact the service center with the company name and what you were trying to do.
