Inventory

Inventory management tracks branch stock through movement history.

The Ignition Inventory workspace is task-led: Overview highlights operational and parts attention, Parts and Suppliers provide searchable directories, Branch stock shows authorized branch balances, and Repair Orders starts from a human repair-order search before issue or return controls appear. Filters and selected work live in the URL, so Back, Forward, and refresh preserve useful context while your role and assigned branches still control access.

The Inventory workspace reads a sanitized readiness state before operations. An Inventory Manager can see whether Inventory is enabled or setup is incomplete without receiving tenant settings, provider evidence, or another module’s readiness. Tenant Admin owns enablement and setup recovery.

Edit and export catalog records

Use Edit on a part or supplier row to open that record’s editor. Closing the editor returns to the list; saving keeps the list’s search and filters. A failed save keeps the entries for correction.

Export filtered parts CSV exports the Parts catalog using its current name/SKU, status, and supplier filters. It includes catalog prices in the stated currency, units, supplier, and description. This is separate from the stock-and-movement report described below. Export requires both catalog and inventory-report access; the download remains limited to your workshop.

Main capabilities

CapabilityPurpose
ReadinessConfirms inventory setup and module availability before operations.
Parts catalogTenant-owned part records with cost, selling price, supplier, and status.
SuppliersTenant-scoped supplier records associated with parts.
Branch stock baselineSets the opening branch stock state.
Stock levelsShows available quantity and stock detail.
Low-stock alertsFlags parts below configured thresholds.
Stock adjustmentsAuditable corrections with reason and actor.
Issue partsDecreases stock and links parts to repair orders.
Return partsReverses unused issue quantities and updates movement history.
Reports and CSVSummarizes stock, movement, low-stock, and cost/selling data.

Inventory report totals always cover the complete authorized filter scope, even when the on-screen stock and movement collections are bounded previews. The report response identifies when either preview is truncated. CSV export reads the complete filtered row dataset in bounded pages rather than exporting only the preview. Every page in one export uses one repeatable-read snapshot, and the stream contains stock and movement rows only. The CSV intentionally omits a totals trailer and includes an explicit currency column on every row; a blank movement currency means the historical movement has no immutable valuation evidence and is not valued from today’s catalog. A date-only From or To value is interpreted in the tenant timezone, with To including that entire local calendar day. An ISO timestamp still uses that exact instant.

Quantity summaries are grouped by unit of measure, and financial summaries are grouped by currency; Motornauts never adds litres to items or LKR to USD. Issues without complete historical currency, cost, and selling-price snapshots are counted as unvalued rather than silently priced from current catalog values.

Open a part from Branch stock to read its bounded movement ledger. Movement type and date filters run on the server, and Next page retains that filter scope. The ledger shows snapshot part identity from each movement, so later catalog edits do not rewrite history. Low-stock meaning is always written as text as well as indicated visually.

Inventory should never be fixed by silently rewriting history.

Adjustment, issue, and return submissions are retry-safe. An exact retry with the same submission key returns the movement already committed and does not change stock or add a second audit entry. Reusing that key after changing the part, quantity, reason, Repair Order, or other submitted intent is rejected as a conflict; refresh the form to begin a new intent instead.

When readiness is disabled, operations remain unavailable until the module is enabled. When setup is incomplete, complete the required branch stock baseline through the authorized workflow; do not bypass readiness by granting general tenant or reporting permissions.

Part cost and selling price each support 0 through 999,999,999 minor units in the part currency (for LKR, up to LKR 9,999,999.99). Negative or larger catalog prices are rejected. Do not split a single part price or rewrite movement history to work around the limit.

Catalog, supplier, stock-adjustment, negative-stock override, issue, return, and report controls appear independently according to effective permissions. A visible or hidden control is only guidance; Motornauts checks tenant, branch, readiness, workflow, concurrency, and permission state again when an operation commits.

Daily stock changes and alerts

Opening stock is a one-time setup step and is hidden once setup is complete. Use Adjust stock for later receipts or corrections. Select the destination branch tab in Branch stock first; the form repeats that branch name above its fields. Select the part, enter a signed change in its unit, and give a reason: +5 adds five; −5 removes five. The preview uses the loaded balance; the current balance is checked again when saving. A preview is unavailable when that part’s balance is not loaded.

Open a part in Branch stock and choose Change reorder alert. Set the available quantity at which an alert should appear, or leave it blank to turn off the alert. Saving this setting changes neither on-hand/reserved quantities nor stock history. If stock changed while you were editing, refresh the record and review the threshold before saving again.

Failed submissions keep the expanded form and your entries. Validation identifies an invalid quantity or currency amount. Currency selection keeps the entered amount; it does not convert it. Parts blockers lists jobs waiting for parts within your assigned branches, with pages for additional jobs. This view does not require access to general workshop reports.

For a new workshop, create the first part (and supplier if needed) before recording opening stock. The setup screen links to Parts and Branch stock. Ordinary adjustments, part issues and inventory reports become available after opening stock is recorded.
