Cashier

New to this role? Follow the first-day checklist.

Use the labeled sidebar to find your permitted work areas, grouped by task. On a smaller screen, open the navigation menu in the header to reach the same destinations. The current page stays highlighted; the tenant and branch scope still determine which records and actions you can use. Choose Account in the header for appearance controls and Log out. Daily workshop tasks come first; Management holds reporting and feedback, and Administration holds setup. Only the groups and destinations your role can use are shown.

Cashier is an optional tenant role for payment and invoice operations.

After staff sign-in, Cashiers open Payment Requests. The tenant shell shows only payment/invoice destinations allowed by the role and its authorized branch scope. Shell access does not grant the general tenant Dashboard, Reports, or report.basic.read permission.

The Cashier workspace starts with search. Use an invoice number, customer name or phone, or vehicle plate; do not ask a customer for an internal record ID. Open a matching invoice to review its total, paid amount, and balance before recording an authorized manual payment or preparing a full-balance online payment request.

A Draft invoice needs authorized staff to issue it before payment can be recorded or requested. A Paid invoice needs no further payment. If the invoice has an amount due but your role cannot perform an action, the workspace explains that permission restriction separately.

Use Standalone requests when you need to find an existing request outside an invoice handoff. Filter by customer-known text, status, reconciliation state, or your authorized branch, then confirm the plate, customer, vehicle, amount, and expiry. Renew access link revokes the old link and gives you a new link to copy or open; it does not notify the customer automatically.

The Invoices list is also available for branch-scoped review. Open a plate-anchored invoice to confirm line items, received-payment history, balance, and private PDF state. Cashier access does not grant invoice issue or void actions; those controls remain unavailable even when the invoice is readable.

Intended access

  • View invoices and payment requests.
  • Record manual payment where permitted.
  • Create payment requests where the module is ready and the role allows it.
  • Review payment status using reconciliation-safe language.
  • Confirm PayHere-backed online payment handoff is ready before treating provider payment as available.
  • Refine a broad search when the workspace says more matches exist, and confirm the plate plus customer name before opening the handoff.
  • Avoid tenant settings, service workflow ownership, technical repair work, staff roles, and tenant configuration.

When the Cashier role is disabled, Branch Manager or Service Advisor fallback ownership should be clear in the workflow. Payment state should remain auditable either way.
