Cashier Onboarding
Role focus
Cashiers handle invoice and payment work when the optional Cashier role is enabled for the tenant.
What you need
Confirm the Cashier role is enabled for the tenant and assigned to you. Ask which payment actions you can perform, whether payment requests are enabled, and who owns escalation when payment states do not match receipts.
First login and workspace orientation
Find your work areas in the grouped, labeled sidebar. On a smaller screen, open the header navigation menu; it contains the same permitted destinations. Check the tenant and branch scope before starting work, and use the breadcrumbs to return from a detail page.
Sign in to the tenant workspace. Cashiers land on Payment Requests, with invoice and payment context available for payment work. You do not need tenant settings, repair-order technical work, inventory, customer directories, vehicle directories, or staff management to do this role well. The workspace label should show only your assigned branch or no-branch scope; the general Dashboard and Reports navigation should not appear.
First steps
- Search with an invoice number, customer name or phone, or vehicle plate. Internal IDs are not required.
- Match the plate, customer, vehicle, and invoice number before opening the handoff.
- Review the invoice total, paid amount, and remaining balance.
- Record manual payment only when policy allows it and funds were received outside online checkout.
- Prepare a full-balance payment request only when the action is available.
- Verify amount and currency before marking anything complete.
- Escalate mismatched online-payment states instead of editing history.
- Keep payment references factual and audit-friendly.
- Switch to Standalone requests to review an existing non-invoice handoff by plate, customer, status, reconciliation state, or authorized branch.
- If you renew a customer access link, explain that the old link stops working and share the new link through the approved channel; Motornauts does not send it automatically.
Typical workflow
Work from payment queues and invoice state. Your job is to keep payment status clear without changing service workflow ownership or technical repair-order details.
When to ask for help
Ask the Service Advisor for customer context and delivery timing. Ask the Branch Manager about branch payment policy. Send provider mismatch or reconciliation issues to the configured payment owner.
If the shell is unavailable or opens the wrong workspace, do not request reporting permission as a workaround. Ask a Tenant Admin to verify your active tenant membership, Cashier role, and branch assignment, then share only the sanitized request ID shown by the error.
If search finds nothing, check the spelling and try another customer-known value. If more matches exist, add more of the plate, phone, name, or invoice number. A missing manual-payment or online-request action usually means the role, invoice balance/state, module, or readiness gate does not allow that step; ask the Branch Manager or Service Advisor instead of trying a raw identifier or another tenant URL.
Safe use
Do keep payment language reconciliation-safe and auditable. Do not manage tenant settings, staff roles, technician assignments, customer approvals, repair-order technical status, provider credentials, raw callbacks, or card details.
Example
Search for an invoice by plate, confirm the customer and balance, record an authorized cash receipt, or prepare a full-balance online request. Identify who should handle any later payment-state mismatch.
