Inventory Manager Onboarding
Role focus
Inventory Managers handle parts, suppliers, branch stock, adjustments, repair-order issues, returns, and inventory reports.
What you need
Confirm the inventory module is enabled, your role is assigned, and branch stock baselines are ready. Gather catalog details, supplier records, opening stock counts, low-stock thresholds, and the repair-order handoff policy for issued parts.
Inventory Managers can read the sanitized Inventory readiness result needed by this workspace.
Enabled means operations may proceed. A disabled state requires a Tenant Admin to enable the
module; a setup-incomplete state requires an authorized Inventory Manager to complete the branch
stock baseline. This access does not include tenant settings, provider setup evidence, or another
module’s readiness.
First login and workspace orientation
Find your work areas in the grouped, labeled sidebar. On a smaller screen, open the header navigation menu; it contains the same permitted destinations. Check the tenant and branch scope before starting work, and use the breadcrumbs to return from a detail page.
Sign in to open Inventory directly from the tenant workspace. Start with Overview, then learn Parts, Suppliers, Branch stock, and Repair Orders. Inventory is movement-based, so every stock change should have a reason. Search and filter choices are reflected in the URL and can be revisited with Back, Forward, or refresh. The shell should reflect your assigned branch or no-branch scope. General Dashboard and Reports navigation should not appear; Inventory reports remain a separate inventory capability.
First steps
- Review the parts catalog for duplicate or inactive records.
- Confirm supplier details for parts that need reporting.
- Set or verify branch stock baseline.
- Check stock levels and set Change reorder alert from a part’s stock detail.
- Issue parts only against the correct repair order.
- Return unused issued parts instead of rewriting history.
- Use Adjust stock for later receipts and corrections: +5 adds five; −5 removes five.
- Review Parts blockers in Overview, using Next to reach additional waiting jobs.
- Export inventory reports when Branch Manager needs review evidence.
Typical workflow
Inventory work supports repair orders. The normal path is catalog readiness, stock visibility, issue to repair order, return if unused, adjustment if corrected, then reporting.
When to ask for help
Ask Service Advisor or Branch Manager to confirm repair-order context before issuing parts. Ask Technician to confirm what was actually used. Escalate stock mismatches to Branch Manager with the movement history, not a manual rewrite.
If readiness is disabled, share the displayed guidance with a Tenant Admin. If setup is incomplete, complete the required baseline within your authorized branch scope. Do not ask for tenant settings or general Dashboard/Reports access.
If the shell is unavailable or opens the wrong workspace, do not request general reporting permission as a workaround. Ask a Tenant Admin to verify your active tenant membership, Inventory Manager role, branch assignment, and Inventory module readiness. Do not copy URL identifiers or technical diagnostics into the support request.
Safe use
Do preserve movement history and reasons. Do not silently rewrite stock, drive issue flow below zero, or expose supplier/cost details to customer-facing views unless the product explicitly shows that value.
Example
Issue two parts to a repair order, return one unused part, then show how the stock level and movement history explain the final quantity.
