Customer Onboarding
Role focus
Customers use the workshop’s Motornauts portal to book service, follow active work, approve an estimate, pay, and view service history.
What you need
Have the workshop’s customer portal link, the phone or email used for login, and basic vehicle details ready. If you are joining from a public registration form, wait for staff review before expecting full portal access.
Start from the workshop’s public landing page when it is available. Book service sends you to that tenant’s customer login and returns you to booking after OTP verification. Customer sign in returns to the portal home instead. A Register action is shown only while the workshop accepts public requests; submitting one still requires staff review and does not create login access. Published phone, email, and branch contacts help you reach the workshop, but do not promise that a branch is open or has booking capacity.
Registration has three steps: Your details, Your vehicle, then Review & agree. Optional address and additional vehicle details expand when needed. Use Back or a summary’s Edit action to correct entries without losing them. Read the published workshop terms, complete verification, and submit the request once. Marketing consent is a separate optional choice. Your draft stays only on the current page; refreshing or leaving clears it. If verification is unavailable, contact the workshop using the links shown before the form.
First login and workspace orientation
Open the tenant customer login page, enter the email linked to your workshop customer record, choose Send code, and enter the newest six-digit OTP on the same device. Resend code remains disabled until the current code expires. Choose Change email to discard the current step and restart; SMS appears only when the workshop login explicitly offers it. Never share a code with workshop staff, Motornauts support, or anyone else. After login, start from the vehicle-first service overview. Read the plate, current status, and next step to identify the service that needs attention. These describe the recorded workflow stage, not a measured completion percentage. Use Review estimate when the primary card says customer approval is waiting.
You can paste the full code into the single code field or use your device’s code autofill. The code clears after an attempt. Registration requests require approval before this sign-in grants access.
The labeled sidebar opens Home, Book, Bookings, Services, Approvals, Garage, Invoices, History, Notifications, and Profile. On a smaller screen, open the header navigation menu for the same destinations. The current page is highlighted; use breadcrumbs to return from a detail page.
Open Bookings to review or cancel a still-requested booking. Open Services for the complete paginated active-work list and Approvals for the complete queue of current estimate decisions; the Home card is a summary, not an exhaustive list. Recent workshop services and counts labeled in this overview describe the Home preview. Use the complete destination when you need every booking, active service or pending approval.
When the notification center is enabled, the bell opens saved customer-safe service updates. Its badge is the exact unread total, and the page can filter Approvals, Blockers, Messages, System, Unread, or Read. Choose Mark as read for one update or Mark all read for the current authorized inbox snapshot. This read state means viewed in Motornauts, not delivered or read by an SMS or email provider.
If the browser is also signed in to a staff or fleet workspace, the valid tenant OTP session still owns customer portal activity. An expired, revoked, or wrong-tenant OTP session requires a fresh customer login; Motornauts never substitutes the other signed-in role.
First steps
- Confirm your name and contact details in Profile.
- Open My vehicles to add a missing vehicle or review the garage, verification state, documents, and service history.
- Upload only documents the workshop requested.
- Open Book: choose a vehicle, branch and service; choose an explicit available time in the displayed timezone; then review your visit details and submit a booking request. The workshop must confirm the appointment. See booking steps.
- During service, use the active service page for timeline updates and the inspection-report state. Download appears only for the latest submitted, generated, customer-safe report.
- Review the vehicle plate, estimate total, and every customer-visible line. Choose exactly one Approve or Reject decision per line, add an optional note when useful, then submit once.
- Pay only through the official portal or payment request link. In Invoices, open the invoice, choose Pay online, review the amount, then choose Continue to secure payment. Motornauts does not auto-submit the provider form.
- After delivery, check history and submit feedback if requested.
- Revisit Notifications for saved service updates; use Refresh when you need a newer snapshot.
Public payment links are active capabilities, not receipts. They stop working at expiry or when the payment reaches a terminal result. If that happens after returning from PayHere, use the authenticated portal or contact the service center for final status; do not retry or alter the old link. The link credential is kept only in the tab that opened it and is removed from the address bar. Use Check status for a fresh backend result while the link remains active.
For an invoice-linked payment started from the customer portal, return and cancel navigation opens the exact authenticated invoice/payment-result page. Choose Check status again for a fresh backend read. A return from PayHere is never payment proof; contact the service center when final status remains unavailable or under review.
Typical workflow
Most customers use Motornauts around a service visit: book, arrive, follow the timeline, decide on estimate items, review invoice or payment state, receive the vehicle, then keep the record in history.
If a vehicle is not already listed, add it from My vehicles before booking. The workshop may need to verify newly added vehicle details before check-in, depending on its portal settings.
In Garage, select the plate you recognize. Vehicle history shows only that vehicle; History shows all authorized vehicles and provides Previous/Next controls when the record spans more than one page. Choose View visit details on any history card to check the visit and its available reports. After delivery, choose Give feedback when the workshop has requested it. The same request is available from Notifications; submitting through either entry completes it. A missing or unavailable document panel does not mean the vehicle, service progress, or history was removed.
When to ask for help
Ask the Service Advisor or workshop support contact when access fails, vehicle data looks wrong, an estimate line is unclear, a payment state does not match your receipt, or a document download does not open. If an estimate becomes read-only, return to Home and open the latest approval rather than trying to answer a historical version.
Safe use
Do keep your contact details current and use the tenant-branded links. Do not share OTPs, card details, private document links, or payment screenshots with anyone outside the workshop support path. Staff, platform, and fleet accounts use a separate Clerk sign-in and cannot be used as a customer portal credential.
Example
Book a service for one vehicle, then trace where you would find the booking, active timeline, estimate decision, invoice, payment state, and final service-history record.
