Fleet Admin and Driver are external company users. They do not receive workshop staff permissions.
In the default workshop role configuration, Tenant Admin has staff Fleet capabilities. Branch Manager, Service Advisor, Technician, and Cashier do not. A successful sign-in to a workshop dashboard does not grant access to its Fleet directory.
Authorized workshop staff open Fleet from the tenant workspace to scan business accounts and then open one account for vehicles, access, approval, credit, and billing tasks. The list and account page show only work available to the signed-in staff member. Do not use an external Fleet Admin or Driver workspace as a substitute for staff access.
Use Edit account to update company details, credit limits or Active/Suspended/Archived status. After saving, check the notice on the account page and the refreshed values. If the change was not saved, the page keeps the error visible so you can correct the request or ask for help.
Fleet setup required means a required setup step needs attention. Ask the service center administrator to check the displayed setup step. Provider and privacy review reminders are separate; they do not automatically disable an enabled feature. Missing accounts or driver assignments are onboarding tasks and may produce an empty workspace. Changing a user’s role does not complete provider setup.
Fleet is not enabled means the service center’s enabled features need review. A separate permission-unavailable message means the current role or scope cannot open the requested resource. These states do not reveal another account’s records or internal review evidence.
The account page provides controls for Fleet Admin/Driver access, vehicle linking, Driver assignment, approval rules, approval requests and credit exceptions. Select people, plates, repair orders and estimate versions from the available choices. If a list cannot load, use its Refresh link before trying again. Only authorized staff can use each control. Motornauts checks account status, setup, ownership, assignment, approval and credit before saving. Use search and Previous/Next to reach eligible people, vehicles, service work, rules, requests, and assignments beyond the first page. Approval-request choices are calculated for this Fleet Account, approval level, branch scope, check-in ownership period, and current estimate; already actionable work at the same level is not offered again. If a choice has changed since the page loaded, refresh and select the current record.
The access form starts with each person’s saved role; review it before saving an access change. Approval order (1 = first approver) describes the order in which approval is required. Fleet Admins review full estimates and confirm decisions in their external workspace. They can view complete service history and prepared statements, while staff manage bookings and assignments.
Enter normal amounts in the selected currency for credit limits and exceptions. LKR supports two decimal places, JPY whole amounts and KWD three decimal places. A credit exception’s Maximum approval amount covered must cover the full selected estimate total, not just the amount above available credit. It does not change the account limit. See credit limits and exceptions.
